NotaryFlow (“we,” “our,” or “us”) is operated by NotaryFlow. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application NotaryFlow (the “App”). Please read this policy carefully. If you disagree with its terms, please discontinue use of the App.

- Account information: Name, email address, and password when you create an account.
- Notary profile information: Commission state, commission number, commission expiration date, and related licensing documents.
- Appointment data: Signer names, appointment types, dates, locations, document types, fees, and notarial act records.
- Journal entries: Records of notarizations performed, including signer identification type and verification status.
- Documents: Any documents you upload, scan, or attach to appointments within the App.
Information Collected Automatically
- Device information: Device type, operating system version, and unique device identifiers.
- Usage data: Features used, screens viewed, and time spent in the App.
- Crash reports: Error logs to help us diagnose and fix technical issues.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the App and its features
- Process subscription payments and manage your plan (Basic, Pro, or Premium)
- Generate appointment records, journal entries, and reports
- Send commission reminders and supply tracking notifications (Pro & Premium)
- Send you important notices regarding your account or the App
- Improve the App based on usage patterns
- Respond to your support requests
- Comply with applicable legal obligations
4. How We Store and Protect Your Information
Your data is stored securely using industry-standard encryption in transit (TLS) and at rest. We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.
We retain your data for as long as your account is active or as needed to provide services. You may request deletion of your data at any time (see Section 9).

6. Payments & Subscriptions
NotaryFlow offers a free tier with your first 3 signings included at no charge — no credit card required. After that, the following monthly subscription plans are available:
- Basic — $4.99/month: Guided signing workflow, up to 20 signings/month, basic document checklist, email support.
- Pro — $9.99/month: Everything in Basic, plus unlimited signings, document scanning & storage, commission reminders, supply tracking, and priority support.
- Premium — $14.99/month: Everything in Pro, plus 10% store discounts, free shipping on supplies, advanced document tools, dedicated support, and early access to new features.
Annual plans are available at a 20% discount. Payment information is processed securely through our payment provider and is never stored directly on our servers. Subscriptions automatically renew unless cancelled before the renewal date.
7. Notary Journal Data
NotaryFlow is designed to assist notaries in maintaining appointment and journal records. This App does not constitute legal advice and does not guarantee compliance with any specific state’s notary laws. Users are solely responsible for ensuring their notarial acts comply with applicable state laws and regulations. Features related to Remote Online Notarization (RON) may not be available or compliant in all states.
8. Children’s Privacy
NotaryFlow is intended for professional use by adults (18+). We do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it promptly.
9. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Opt out of non-essential communications
